Managing Electronic Records: Basic Framework for Getting Started

Laurie Fischer
Cohasset Associates

Organizations acknowledge the urgency and necessity of incorporating electronic records into their existing records management programs. Most organizations, however, do not have comprehensive and prioritized plans in place to do so. Instead, they address electronic records management in a reactive mode on a "one-up" basis due to actual problems that arise, or to perceived risks and threats.

What is often missing is a sound understanding of the basic framework of an organization's computing environment. Since there are many different categories or "groupings" of electronic records (usually based on the type of application or system that was used to create them), an understanding of the similarities and differences among these groupings is key to defining electronic records management solutions.

LAURIE A. FISCHER, Senior Consultant with Cohasset Associates, Inc., has overseen the development of records management programs for some of Cohasset’s largest Fortune 500 clients, primarily in the highly-regulated pharmaceutical and financial services industries. She has been responsible for designing effective information management programs for paper, microfilm and electronic records, including the development of comprehensive retention schedules, the design and implementation of vital records protection programs, alternate technology assessments, records storage space planning, and program audits and reviews.

Ms. Fischer is a frequent speaker on records management and technology-related topics. In addition, she conducts many in-house training sessions for her corporate clients.

Implementing Electronic Recordkeeping - Getting it Right for your Organization

Bruce Miller
RIMtech Inc.

EDRMS (Electronic Document & Records Management System) promises to manage our electronic records. But usually, the "R" is left behind - document management happens, but not the electronic recordkeeping. This sessions examines why the "R" goes missing, and how to prevent it. EDRMS software has plenty of recordkeeping capability, but we have not learned how to make the recordkeeping actually happen for real. Probe the underlying barriers to success such as business culture and policies, user complacence, technological issues, and more. Learn a new implementation strategy developed by Bruce Miller, the inventor of modern e-records software. This structured approach spells out what you need to do, and how, to put the "R" back in EDRMS. The approach defines clear goals, specific tasks, and measurable outcomes to deliver the confidence that your project is on track, and succeeding. Attendees will learn the methodology, based on lessons learned from countless past real-world EDRMS projects.

Process for Transitioning Records from Acquired Companies

Rachael Heade
Microsoft Law & Corporate Affairs

Consistency is one of the keystones to successful records management. So, how do you keep that alive during the acquisition process or divestiture process? In this session Rachael Heade will discuss some of the key concepts and processes she has found essential for successfully capturing the records of acquired companies as well as some of her experiences and lessons learned. Key areas she’ll cover include; how to get involved, when to get involved, who to contact and how to get what you need. There will also be plenty of time set aside for specific questions.

Rachael has been on the Corporate Records Management team at Microsoft for over 7 years. As the Records Management Analysis Manager she is responsible for the oversight of the maintenance of Microsoft’s Corporate Retention Schedule, providing guidance on document retention and disposition, the development and implementation of departmental implementation guidelines; as well as the development of all records management training which includes modules which are common to all Microsoft employees and modules which are based on roles within the corporation. The scope of her work is primarily US-centric; however; she does conduct research on international retention compliance, and provides guidance in this area to field offices and subsidiaries around the globe. She also developed a formalized process for transitioning records and information assets for use in mergers & acquisitions as well as divestitures. She is currently responsible for implementation of this process for all Microsoft mergers & acquisitions as well as divestitures.

HALF DAY WORKSHOP:Blogs, Wikis, RSS, Oh MY! An introduction to social technologies for RIM professionals.

Jesse Wilkins
Principal Consultant with Access Sciences

In this half day workshop, attendees will learn what blogs, wikis, and RSS feeds are and how they can put them to use in their organizations. Attendees will learn about the information management challenges associated with each technology and will "learn by doing" - these sessions will be hands-on, so bring a laptop!

Session 1: Blogs and RSS In this session, attendees will learn what a blog is and how it works. We will examine the ways it can be used by organizations to inform and collaborate while reducing the volume of email. Attendees will set up their own blog using a hosted service and create posts. We will also examine some of the implications of blogs on a records program and key considerations for managing them effectively.

Attendees will also learn what RSS feeds are and the effectiveness of using RSS feeds to stay abreast of changes to blogs, websites, wikis, and even back-end systems. Attendees will set up their own feed reader and list of feeds and will understand how to view individual posts, individual feeds, and the “river of news” view of all their feeds.

Session 2: Wikis In this session attendees will learn about wikis: what they are and how they work. Attendees will examine Wikipedia, Wiktionary, and several other wikis to understand how they are structured and updated. Students will learn the different uses wikis can be put to in the organization, and the ways in which they can be managed effectively from a business and records perspective. Students will also set up their own wikis using a hosted service.

Jesse Wilkins has worked in the document industry for twelve years, most recently as a Principal Consultant with Access Sciences. His areas of expertise include enterprise content and records management strategy, system design, and implementation oversight.

Jesse is very active in ARMA, serving on the ARMA International Board of Directors and as served as Chair of the Communications Advisory Committee. He will be speaking at ARMA 2007 where he will present an AIEF Research Project session on email management.
